Closing an RO.

 

Closing an RO in Shop Boss is changing the RO Status to Closed. Within Shop Boss the way an RO is closed is entirely dependent on how each shop runs their business. 

 

 

A couple of examples we have are below. 

 

If you need RO to stay open until fully paid for and owner has possession of their vehicle:

 

if you would like to have the vehicle fully repaired, the customer paid for repairs and the vehicle is no longer in your possession you can leave the RO in Final until all steps have been completed and then you can change the RO Status to closed. This will take it off the Work in Process screen at the end of the day so you know it is fully completed and no longer at your shop.

 

If you have accounts that have a rolling balance and pay monthly or quarterly:

 

If you have customers that pay Net 30, Net 60 or Net 90 you can change the RO Status to closed regardless if the payment has been collected. This will send the RO with a balance due into Accounting where you can go in and pull statements for those customers and request payment as well as add payments to the ROs they would like to pay.

 

If the RO is unable to be closed without a payment there is a setting that requires a payment and the balance on the RO to match before it will allow it to close. You can turn this off by going to

Custom Settings

Repair Order Preferences to turn off the top two settings, Require Payments to Close RO and Balance RO against Payments. 

 

 

Once those two settings have been turned off the system will allow you to close the ROs and send them to Accounting (A/R).
