How to set up Fleet Accounts
Set up one Customer Profile for each Company Location/Group
Add all Vehicles for that location using a Fleet number in order to easily find
When Creating an RO search for the Fleet name or number
Continue with the RO as normal.
Most Fleet Accounts will be paid Net 30, 60 or 90 days so the ROs will be Closed with a Balance so it will go into Accounting with a Balance.
To send the Fleet Account a Statement:
Go into the Accounting section
Into Receivables and A/R
Search the Company name
Click on one of the ROs
Select Statement
Choose All Invoices or Date Range
Once Statements pull up it will give the options to Print or Email
To collect Payment from Accounting:
Once Payment is sent in from the Company go into Accounting
Then Receivables and Multiple RO/PS
Search for the Fleet Account specific to Location/Group
Enter the Ref. Number which is usually the check number
The Total Amount will go in the top section and in the lower section you will break down the Payment by entering the Balance of the RO or the remaining portion of the Payment until the Amount Left is 0.00
